Acceptable Use Policy

This Acceptable Use Policy ("AUP") sets out the rules that apply to everyone who uses the Orbis
Salon platform (the "Service") provided by Orbis Digital Ltd
(trading as "Orbis Salon"). This AUP forms part of, and uses definitions from, our
Terms of Service. Breach of this AUP is a material breach of the Terms.
1. General principles
You must use the Service lawfully, honestly and with respect for the rights of others — including your clients, your
staff, other customers of the Service and the public. You are responsible for the conduct of your Users and for all
activity under your account.
2. Prohibited uses
You must not use the Service (including booking pages, published websites, forms, email, SMS and letter tools):
- in any way that breaches applicable law or regulation, or that facilitates any unlawful activity, including fraud, money laundering or tax evasion;
- to store, publish or transmit material that is defamatory, obscene, hateful, discriminatory, harassing, threatening, or that promotes violence or illegal acts;
- to store, publish or transmit material that infringes any copyright, trade mark, database right or other intellectual property right, or that misuses confidential information;
- to harm or attempt to harm minors in any way, or to market age-restricted services to minors;
- to impersonate any person or business, misrepresent your identity or affiliation, or create accounts using false information;
- to publish false, misleading or unsubstantiated claims about services, prices, results or qualifications, or fake reviews and testimonials;
- to transmit malware, viruses or any other harmful code, or to link to material of that kind.
3. Electronic marketing (email, SMS and letters)
Communications you send through the Service are sent on your behalf. You must:
- comply with the Privacy and Electronic Communications Regulations 2003 (PECR) and UK GDPR when sending marketing messages — in general this means having the recipient's consent, or satisfying the "soft opt-in" for your own existing customers;
- identify yourself clearly in every message and honour opt-outs promptly — every marketing message must offer a simple way to unsubscribe;
- not send unsolicited bulk messages (spam), purchase marketing lists, or contact people who have opted out;
- not use the tools to send messages unrelated to your salon business.
We may throttle, suspend or block sending that we reasonably believe breaches these rules or endangers the
deliverability of the platform for other customers.
4. Client data and confidentiality
- Only collect the client data you genuinely need, and use it only for the purposes you told the client about.
- Health-related information collected through consultation forms is sensitive: collect it only with an appropriate lawful basis (usually explicit consent), restrict staff access to those who need it, and never use it for marketing.
- Do not export, sell or share client data except as the law allows and your own privacy policy describes.
- Set appropriate roles and permissions for your Users and remove access promptly when staff leave.
5. Security and platform integrity
You must not:
- attempt to gain unauthorised access to any part of the Service, other customers' data, or the systems on which the Service runs;
- probe, scan or test the vulnerability of the Service without our prior written consent;
- interfere with or disrupt the Service, including by overloading it, deliberately circumventing rate limits or plan limits, or automating access in an abusive way (excessive scraping, bulk requests);
- share, publish or expose API keys, webhook secrets or other credentials, or use another customer's credentials;
- remove, obscure or alter any proprietary notices in the Service;
- resell, rent, or provide the Service to third parties as a service bureau without a written agreement with us.

[email protected] and do not exploit or
disclose it publicly.
6. AI-assisted features
- AI-generated drafts must be reviewed by a human before being sent or published.
- Do not use AI features to generate unlawful, misleading or harmful content, or content that presents itself as professional medical or legal advice.
- Do not submit more personal data to AI features than is necessary for the draft you are creating.
7. Payments
- Only take payments for genuine goods and services provided by your business.
- Do not use the payment tools for any category of business or transaction prohibited by our payment partner's rules, or to evade card scheme rules.
- Handle refunds, disputes and chargebacks promptly and fairly, and maintain honest descriptions of your cancellation, deposit and no-show policies.
8. Fair usage
Features described as unlimited or inclusive are subject to fair use. Usage that is abnormal for a business of your
size and type — for example bulk data storage unrelated to salon operations, or extreme automated traffic — may be
restricted after notice where practicable.
9. Monitoring and enforcement
We do not routinely monitor content, but we may investigate suspected breaches of this AUP and may, at our
discretion: remove or disable access to content; suspend or restrict features (including sending and publishing);
suspend or terminate accounts in accordance with the Terms of Service; and report unlawful activity
to law enforcement or regulators, including disclosing relevant information where legally required.
10. Reporting misuse
To report content or behaviour that you believe breaches this AUP, contact

reports and take action we consider appropriate.
11. Changes
We may update this AUP from time to time in the same way as the Terms of Service. The latest version always applies.
